•Negotiating and signing agreements with hotels
•Hotel booking for individual participants and groups
•Registration of orders and payments
•Sending confirmations
•Follow up with each hotel to ensure that booking deadlines are met
•Sending room lists to the hotels
•Coordinate, contract & implement program and schedule
• Contract function entertainment, special decor & flowers
• Propose menu suggestions and room set-ups for functions
• Develop rooming lists & pre/post-program room blocks
•Reserve all recreational activities and appointments
• Respond to service questions
• Coordinate all VIP requirements
• Convene pre-convention meeting with all vendors & suppliers

Work on the budget and financial management consists of:

• Development of a preliminary budget in close cooperation with the customer
• Budget update, forecasts and Analysis
• Create custom online database to fit needs of program
• Compile and monitor registration information
• Manage and monitor program database
• Respond to attendee questions
• Coordinate and monitor all on-site program details
• Staff hospitality desk, meeting and social functions
• Staff airport for arrivals and departures
• Review master account with hotel accountant daily
• Assign appropriate staff for each event
• Perform post-critique analysis for our client partner
